Built for contractors

From the first call
to the final payment,
on one screen.

AI Build Pros is the CRM for remodelers, roofers and specialty trades. The lead, the calls and texts, the estimate, the signature, the payment and what the job actually cost all live on one record — so the office, the call center and the field stop working from different information.

Works on the phone in your truck · Office and field roles · Bring your contacts on day one

The real cost

The job isn't the hard part. Keeping track of it is.

A spreadsheet for leads, a shared calendar for appointments, a Word template for estimates, and a group text holding it all together. Nothing is wrong with any one of them. The gaps between them are where the money goes.

The way most shops run

  • A lead comes in Friday and gets called back Monday
  • The estimate exists in someone's Downloads folder
  • The crew shows up to a job that moved yesterday
  • Invoices go out when someone remembers
  • Nobody can say which deals have gone quiet
  • The whole pipeline lives in one person's head

On AI Build Pros

  • Every lead lands in a stage with an owner and a next step
  • Estimates build from the contact and get signed online
  • One calendar the office schedules and the field reads
  • Deposits paid by card, recorded against the job
  • Stale deals flagged automatically after 14 days
  • Roles mean the field sees their work, not your margins

The system

Twelve parts. One record.

Every module is in the box. The lead carries its calls, texts and recordings, the estimate is built from it, the customer signs and pays against it, and the job runs its costs and change orders off the same record.

01

Pipeline & dispatch

A kanban board with stages built for trade sales. Pipeline value, average deal size and stale-deal counts sit above the board. Dispatchers work their own scoped view, supervisors see the whole desk.

  • Drag between stages
  • Stale & no-appointment flags
  • Dispositions map to stages
  • Deleted leads recoverable from trash
02

Dialer & call tracking

A browser dialer that works a queue without touching a keypad, plus CallRail tracking so a marketing call becomes an attributed lead on its own — and the recording plays inside the CRM rather than in another tab.

  • Click-free queue dialing
  • CallRail attribution & auto-leads
  • Recordings played inline
  • Scripts, dispositions, call reports
03

Reply Inbox

Two-way texting from inside the CRM on your own numbers. Replies land against the right lead, and an incoming text rings the desk — badge, tone and a flashing tab title, so nothing sits unread.

  • Two-way SMS, multiple numbers
  • Delivery status per message
  • Desk alerts on incoming texts
  • Threaded against the lead
04

Estimates & contracts

Line-item estimates built from a reusable scope library, with an AI estimator to draft the scope. Group sections, attach photos, apply a discount, and see when the customer actually opened it.

  • Scope library & contract templates
  • Photos, groups, discounts
  • Drawn or typed e-signature
  • View tracking & PDF to Drive
05

Customer portal

Your customer gets a verified link — no password to forget. They read the estimate, sign it, and pay their deposit or progress draw without a single phone call to the office.

  • Verified access, no account
  • Review & e-sign estimates
  • Pay online by card
  • Job status at a glance
06

Projects & production

Won work becomes a project with a status, a crew and dates. Change orders are priced and signed against it, checklists keep the crew honest, and a completion certificate closes it out properly.

  • Change orders
  • Checklists from templates
  • Completion certificates
  • Crew, dates and status
07

Job costing

What the job actually cost, not what you hoped. Crews photograph receipts from site, costs land against the job and the vendor, and margin stops being something you find out from your bookkeeper months later.

  • Receipt capture from the field
  • Costs against job and vendor
  • Vendor list
  • Bookkeeping role with its own view
08

Payments & commissions

Card payments run through your own Stripe account — the money goes straight to you, never through us. Commission is worked out separately for the rep who sold it and the dispatcher who booked it.

  • Your own Stripe account
  • Deposits & progress draws
  • Sales commission rules
  • Dispatcher commission rules
09

Calendar & schedule

Month grid or list, whichever suits the day. Appointments attach to the lead, confirmations set the status, and reminders go out by text without anyone remembering to send them.

  • Month and list views
  • Multiple company calendars
  • Confirmation updates the status
  • Appointment reminders by SMS
10

Property intelligence

Know the house before you knock. Owner verification, loans and liens, and a photo of the property sit on the lead and the appointment — so a rep can tell a tyre-kicker from a real job before driving out.

  • Owner verification
  • Loans & liens on the property
  • Property photo & Zillow link
  • On the contact and the appointment
11

Marketing analytics

Which sources actually produce work, not just leads. Facebook Lead Ads, tracked phone numbers and your own web forms feed straight in, tagged with where they came from, so cost per booked job stops being a guess.

  • Facebook Lead Ads & webhooks
  • Call-tracking attribution
  • Lead cost & refund tracking
  • Call, text & appointment reports
12

Roles & admin

Eight roles enforced on the server, not hidden in the interface. Every module can be switched on or off per role, and each company orders its own menu — so the screen a dispatcher opens is not the one a bookkeeper opens.

  • Per-role module visibility
  • Per-company menu order
  • Documents & Google Drive
  • Team activity, trash & backups

How it works

One record, start to finish.

Follow a single job through the system. Nothing gets retyped along the way.

  1. 01New Lead

    The lead goes in once

Name, phone, address, project type and where they came from. That's the record — every call, text, estimate, appointment and payment from here on points back to it.

  2. 02Estimate Scheduled

Book the visit while they're still on the phone

Quick Create opens the appointment wizard, the lead is already attached, and it lands on the calendar assigned to whoever is driving out.

  3. 03Estimate Sent

    The estimate fills itself in

Pull from Contact drops in the client details. You add line items, mark it Sent, and the pipeline moves with it. Fourteen days quiet and it flags itself as stale.

  4. 04Won

Won becomes a job, not a new form

Status, crew, start and end dates. The contract sits against it, and the field sees the work without seeing the deal value.

  5. 05Signed & paid

They sign and pay without calling you

The customer opens their portal link, reads the estimate, signs it, and pays the deposit by card into your own Stripe account. The signed estimate becomes the contract, and progress draws come off the same document as the job moves.

Who sees what

Eight roles. One version of the truth.

Your crew doesn't need the pipeline, your call centre doesn't need your margins, and your dispatchers shouldn't see each other's pay. Roles are enforced on the server, so what a person can see never depends on which button they tapped.

Every module can be switched on or off per role, and each company sets its own menu order. The defaults are already sensible — Bookkeeping opens on costs and payments, Call Center opens on the dialer, Field never sees a margin.

Questions

What contractors ask first.

Can I bring the customer list I already have?

Yes — that's the first thing we do. Export a CSV or Excel file from wherever your contacts live now and upload it. The columns get mapped automatically, you see a preview of exactly how many rows will import before anything is saved, and you get a count of anything that was skipped and why.

Will my crew actually use it?

The field view is deliberately small: today's schedule, their jobs, the customer's number, and somewhere to put notes. No pipeline, no dollar figures, nothing to scroll past. If a guy can use a phone he can use it from the truck.

Does it replace QuickBooks?

No, and it doesn't pretend to. It handles estimates, signatures and the money you collect — deposits and progress draws through your own Stripe account — so you can see what's been signed and what's been paid against each job. A full invoicing lifecycle and accounting sync are on the roadmap above, not built yet. Your bookkeeping stays where it is for now.

Whose Stripe account does the money go into?

Yours. Each company connects its own Stripe account, and customer card payments settle directly to you — the funds never pass through us and we don't take a cut of your jobs. Same with texting and calling: it runs on your own Twilio number, so the number your customers see is yours and stays yours.

Do customers need an account to see their job?

No — and that matters, because they won't make one. They get a link, verify it's them, and they're in. From there they can read the estimate, sign it and pay without a password to forget or a phone call to your office.

What happens to my data if I leave?

It's yours and it exports to CSV — contacts, jobs, estimates, payments, the lot. No exit fee and no holding your customer list hostage to keep you subscribed.

How long does setup take?

Most companies are running the same week. Import your contacts, set your pipeline stages and add your people — that's the setup. There is no six-week implementation project.

Is my data actually safe?

It's stored in a real managed Postgres database with automated backups, not in your browser. Accounts are real logins with roles enforced on the server, so what someone can see isn't something they can change by poking at the app.
